<h2><strong><span style="color: #330099;">How can an organisation encourage the take up of electronic payslips?</span></strong></h2>
<p>An autocratic decision would be to adopt electronic payslips and then tell employees that as of a specific date they will no longer receive paper payslips.</p>
<p>However, you can increase the take up of e-payslips by adopting some or all of the following:-</p>
<ol>
<li>Use the current payslip to promote the idea of moving to e-payslips and provide a feedback forum which makes employees feel they have a say.</li>
<li><span style="color: #330099;"><strong>Use the paper payslip to promote the idea of where they can read it. Unlike paper payslips, employees have to wait until they receive the payslip to view their take home pay and deductions. E-payslips can be read anytime anywhere as long as there is an internet connection.</strong></span></li>
<li>Employees don&#8217;t need a computer to view e-payslips they can also be viewed on a tablet or smartphone<img decoding="async" class="alignright size-medium wp-image-4128" alt="e-payslips" src="https://www.digitalprintmanagement.co.uk/wp-content/uploads/2014/05/iStock_000037869924Small-300x225.jpg" width="300" height="225" /></li>
<li><strong><span style="color: #330099;">As soon as the payroll team has approved the payroll run, employees will be able to view payslips instantaneously</span></strong></li>
<li>You can still print paper payslips if needed. With employees payslips stored in one place, copies that are required for a loan or mortgage application can easily be printed off in exactly the same format as the paper payslip.</li>
<li><strong><span style="color: #330099;">E-payslips can be formatted to look the same as the paper version and the employee will be familiar with the look and layout of the form even though it is in an electronic format</span></strong></li>
</ol>
<p>Global smartphones are likely to total 1.75 billion in 2014 (emarketer.com) and with almost half (47%) of mobile phone owners now using smartphones, this is expected to increase to 55% in 2014 (YouGov.co.uk) the use of mobile technology away from home and work makes e-payslips an affordable and effective way of distributing payslips and improving employee engagement.</p>
<p><img decoding="async" class="alignleft size-medium wp-image-4129" alt="e-payslips" src="https://www.digitalprintmanagement.co.uk/wp-content/uploads/2014/05/iStock_000034282008Small-300x199.jpg" width="300" height="199" />Being able to access documents on the go is now a natural progression of mobile technology and with more employees working remotely having access to your payslip either as S-A-A-S (software as a service solution) or through a mobile version will only serve to improve take up of e-payslips.</p>

<p>I looked at the customer quizzically hoping that I fall into the category of knowing what my customer wants rather than want I think they need.</p>
<p>During the course of the meeting they acknowledged DPM for being honest enough to challenge their thinking regarding their internal processes and up and coming projects.</p>
<p>I see my role clearly defined as advisor to my customers &#8211; suggesting a different or better way of doing a business process rather than simply selling solutions or services for the sake of it.</p>
<p>It is my job to question the customer why they do some of the things they do otherwise how can they enhance or improve a current process.</p>
<p>Often there is a bona fide reason for businesses to do things in a certain way, but mostly it tends to be &#8216;because we&#8217;ve always done it this way&#8217;. Not a good enough reason to continue with a business process that is sucking a department dry in time, money and resources.</p>
<h2>Here&#8217;s an example of what I mean</h2>
<p><span style="font-size: 13px;">A long term customer are considering migrating from paper payslips which we&#8217;ve printed and distributed for the last nine years to adopting an e-payslip service.</span></p>

<p>HR have given a lot of time and consideration to the adoption of e-payslips but there are a number of stumbling blocks to overcome:</p>
<ul>
<li>What benefit would e-payslips offer the organisation?</li>
<li>How would they migrate multiple payroll systems into one e-pay service?</li>
<li>How would they manage groups of employees who do not have an email address or access to computers/smartphones?</li>
<li>There will still be a requirement for printed payslips</li>
<li>Are we taking away the employees choice to have paper payslips?</li>
<li>What about being able to add messages to our e-payslips?</li>
<li>Is it all too much time, money and resources to implement this paperless system?</li>
<li>Will the e-payslip look like the paper version?</li>
<li><span style="font-size: 13px;">Does the organisation really need electronic payslips?</span></li>
</ul>
<p>I put it to them that they should encourage their employees to think about receiving e-payslips rather than paper, perhaps trying out a small employee group and gauge the reaction rather than rolling out the whole project at once and giving the payroll department more headaches and queries then they have time to deal with.</p>
<p>These were a few of the suggestions I put forward for them to think about before adopting e-payslips:-</p>
<ol>
<li>You understand the culture of the organisation, are employees likely to be receptive to the idea?</li>
<li>Are you considering electronic payslips to counter the environmental argument and to be perceived as a &#8216;green organisation?</li>
<li>How quickly do you expect to see a return-on-investment?</li>
<li>Are there any stakeholders or external/internal parties involved in the roll out?</li>
<li>Have you undertaken any employee surveys or communicated with them regarding feedback on the adoption of e-payslips?</li>
<li>Are there any other factors that need to be considered in the process?</li>
<li>
<p style="display: inline !important;">There are likely to be many queries initially when the project rolls out live, w</p>
<p><span style="font-size: 13px;">ill the payroll department have the resources in place to advise?</span></li>
<li>
<p style="display: inline !important;">Should they consider communicating with employees over a three month period to advise them that the organisation is moving to electronic payslips rather than &#8216;telling&#8217; employees this is happening now.</p>
</li>
</ol>
<p>The whole point was to make the customer appreciate the implications of moving to paperless, helping them think objectively rather than assume everyone will champion the idea. As one manager commented &#8216;why would anyone object, it makes sense for us to go with e-payslips.</p>

<p>Although I&#8217;ve discussed <a title="Outsource payroll services: How to manage the process of outsourcing your payroll?" href="https://www.digitalprintmanagement.co.uk/outsource-payroll-services-how-to-manage-the-process-of-outsourcing-your-payroll/">payroll outsourcing</a> before emphasis has been on the physical process of <a title="Payroll outsourcing for the SME!" href="https://www.digitalprintmanagement.co.uk/payroll-outsourcing/">outsourcing the complete department </a>and not some of the components of payroll and HR.</p>
<p>There is a genuine misconception that outsourcing a part of the overall process won&#8217;t be cost effective or indeed that outsourcing yields little or no return on investment.</p>
<p>Two questions that need to be asked by organisations prior to considering outsourcing and way before costs are considered are:-</p>
<h2><span style="color: #6633ff;"><em>How could outsourcing work for us? </em><em>Do we need to outsource?</em></span></h2>
<p>Here is an alternative that can work and delivers results that are measurable.</p>
<h2><span style="color: #6633ff; font-size: 1.5em;">Why not consider automating a process rather than outsourcing a whole department?</span></h2>
<h2>What do I mean?</h2>
<p>Organisations can decide to outsource a department to a third party company de-congesting them of non core business activities but what if an organisation wants to maintain control of the payroll department but only outsource some of the more time consuming tasks?</p>
<p>For many small to medium sized organisations payroll and HR come under the same umbrella with payroll and HR engaging in tasks that might otherwise be department specific in larger organisations.</p>
<p>One of the primary reasons companies outsource their payroll function is to eliminate non core business tasks that don&#8217;t add any tangible benefit to a company&#8217;s bottom line.</p>
<p>In-house administration of payroll and HR requires on-going compliance and staff resources. Outsourcing can provide a continuum of expertise and knowledge in HR and Payroll as part of the outsource process, administering this in-house can be costly.</p>
<p>HR departments can be bureaucratic, obstructive and often stuck in the comfort zone of form filling and being seen to support the strategic process of an organisations objectives but not always aligned with the company&#8217;s goals.</p>
<p>The other side of the coin is that HR provides senior management with employee information in relation to business development, staffing resources needed for business mergers, acquisitions or restructuring of the business.</p>
<p>HR departments are under increasing pressure to ensure that the service they deliver is efficient and cost effective. There are many manual functions that are fulfilled by HR department&#8217;s &#8211; employee contracts, appraisals, health and safety, pension documents, new employee inductions, absence reporting documentation, employee communications and document knowledge management.</p>
<p>Whilst the relationship between HR and its employees is a core business function and important for on-going employee relations, the payroll, tax and pension administration and HR compliance are not. <a href="https://www.digitalprintmanagement.co.uk"><img decoding="async" class="alignright size-medium wp-image-2277" src="https://www.digitalprintmanagement.co.uk/wp-content/uploads/2012/10/iStock_000019367513Small-300x225.jpg" alt="iStock_000019367513Small" width="300" height="225" /></a></p>
<p><span style="font-size: 13px;">What part should I outsource?</span></p>
<h2><span style="color: #6633ff;">Payslip printing, e-payslips and multi-channel distribution automation without outsourcing the whole department</span></h2>
<p>Payroll departments who want to maintain control of their main core functions but wish to outsource their payslip printing, e-payslips and distribution can certainly benefit from relinquishing themselves from this process.</p>
<p>Outsourcing the print and distribution of payslips can save from 3-5 days of processing internally reducing the time it takes to handle this task enabling payroll managers to better redistribute their resources to handle employee queries rather than stacking the printer with paper, folding and inserting.</p>
<p>When managing this process internally how do you ensure confidentiality? How do you make sure employees don&#8217;t see each other&#8217;s pay information?</p>
<p>Outsourcing a payroll departments printing makes it easier to manage.</p>
<p>Processing and distributing payslips and p60s is one of the easier more straightforward aspects that lends itself to outsourcing. Confidentiality is maintained and security is foremost making payroll managers jobs easier.</p>

<p>Automation of some of the HR departments tasks not only adds value to the company&#8217;s bottom line but ensures the HR process is streamlined and efficient.</p>
<p>By automating accessibility to key employee documents reduces storage and paper usage and by providing secure access to these documents ensures that documents are managed to conform to compliance needs. Your HR system doesn&#8217;t need to be replaced but it can be enhanced by using an electronic filing cabinet and automating some of the more mundane processes associated with HR departments such as:-</p>
<p><strong>Applications</strong></p>
<p>Applications for jobs can be submitted in any media from email, web and post and CVs along with covering letters can be entered into the system making review easier and more streamlined. Approved applications are stored and tagged for appropriate skills and then routed to the line manager.</p>

<p>Predefined and digitally stored letters can be populated and produced for interview invitations. Feedback from the interview is stored in one location making it easier for managers to review.</p>

<p>Workflows send acceptance or rejection notifications to the HR department which in turn generates the contracts with the predefined terms such as salary, offer or rejection letters are automatically generated and sent to the applicants.</p>

<p>Once a candidate has accepted an offer, departments can be notified of a new starter ensuring that all employment documentation and related tasks are completed prior to the commencement date.</p>
<p><strong>Employee</strong></p>
<p>Training, employee development, performance review, grievance logging and holiday booking forms can be saved electronically in one centralised location.</p>
<p><strong>Leavers</strong></p>
<p>Automated management of the leaving process ensures that employment records are automatically archived, company equipment is returned and retention policies ensure destruction of employee documentation at the appropriate time.</p>
<p>In both payroll printing and HR automation:</p>

<li>Workload reduced in both departments</li>

<p>It&#8217;s not a complicated process if you follow the steps below.</p>
<p>A good provider will discuss and understand your internal processes, how the data files are generated, what system(s) you use and if you already have an existing layout of the p60s, to timescales and deliverables and agree an implementation brief and specification so all parties are working from the same document.</p>
<p>Before you embark on the process of outsourcing your payslips and p60s you need to have a clearly defined set of objectives and a specification that can be presented to the incumbent suppliers during the selection process.</p>
<p>It doesn&#8217;t have to be a long winded document on the life and times of the organisation but should include a simple overview of the payroll department as follows:-</p>
<ul>
<li>How many employees work in the company?</li>
<li>Are they located centrally or in branch offices?</li>
<li>How many p60s are you likely to process and want posted or delivered back to your organisation?</li>
<li>What timescales are you looking at? Consider starting with the end in mind for example if your p60s historically get despatched mid April then work back from that date and establish when the data files are prepared ready for printing.</li>
<li>Are there likely to be any changes from the HMRC which could slow down the process or require you to make amendments to the current p60 slip?</li>
</ul>
<h2><span style="color: #663399;">I only want to outsource our company p60s is that possible?</span></h2>
<p><span style="font-size: 13px;">Yes. Many companies process and print their payslips and ancillary documents in-house but p60s are a time driven task often tieing up payroll departments unnecessarily at a peak time during the year. Simply outsourcing this task can reduce the burden on your payroll department and free up time for staff to concentrate on dealing with everyday payroll queries. Because p60s happen once a year it makes sense to consider removing this task from payroll and as long as you follow the steps above it is a straight-forward process.</span></p>
<h2><a href="https://www.digitalprintmanagement.co.uk"><img decoding="async" class="alignleft size-medium wp-image-3916" alt="payslip and p60 printing" src="https://www.digitalprintmanagement.co.uk/wp-content/uploads/2014/02/iStock_000014925709Small-300x199.jpg" width="300" height="199" /></a><span style="color: #663399;">I&#8217;m worried about the timing, how will I know that my p60s will go out on time?</span></h2>
<p>Firstly make sure you have a clear and planned outline of when they are required to be printed and despatched. It is also a good idea to have what I call a fall back date in other words <em>date 1</em> is the ideal date you are working toward getting your p60s out the door, <em>date 2</em> is the very latest date you fall back on should there be any problems with you generating the information you need for the p60s or you have some technical issue which means your despatch window becomes smaller.</p>
<p>The p60 deadline for 2014 is 31st May by which time every company employee should have received a p60.</p>
<p>Agreeing with the supplier the dates and deliverables ensures that all parties are working toward those dates. It is no good agreeing dates and then forwarding a test file two weeks after the agreed date and then expecting a live file to be processed on time.</p>
<p>In my experience companies need to be aware of the impact of missing deadlines. Suppliers can accommodate your wishes but it is a big ask and usually invokes a best endeavour approach.</p>
<p>You have to be realistic and set expectations that your supplier can work to, moving and changing timescales when you are well into the implementation phase makes it very difficult for your objectives to be achieved so bear that in mind.</p>
<p>If you believe you will miss the deadlines due to internal issues then advise your supplier at the earliest so they can re-schedule and work with you.</p>
<h2><span style="color: #663399;">How do I find the right supplier? </span><a href="https://www.digitalprintmanagement.co.uk"><img decoding="async" class="alignleft size-medium wp-image-3917" alt="payslip printing checklist" src="https://www.digitalprintmanagement.co.uk/wp-content/uploads/2014/02/iStock_000020192818Small-300x300.jpg" width="300" height="300" /></a></h2>
<p>There are many companies that can provide outsourcing payroll services. A google search for <em>&#8216;payslip printing services&#8217;</em> or <em>&#8216;p60 printing&#8217;</em> will give you a number of options.</p>
<p>The key is to research the services on offer, read what is on their website, look at any relevant articles and evaluate the services, do they meet your key criteria?</p>
<p>When you have a minimum of three potential suppliers contact them via telephone or website and request a call back with more information and details. Using the questions above will tailor the information you get during the conversation. Set up either a site visit to the production facility or request that a consultant visits you to talk through your brief. The next stage will be to get indicative pricing; either you will make a decision solely on price which is unwise or you&#8217;ll agree internally on a process of elimination and end up with 2 potential suppliers that you are keen to have further exploratory discussions with.</p>
<p>At this stage you must be absolutely clear what your criteria of selection is for determining which supplier you intend to work with.</p>
<h2><span style="color: #663399;">We&#8217;ve never outsourced before and I&#8217;m worried about data security, what compliancy should I be looking for?</span></h2>
<p>I would advise that you work with an ISO27001 accredited production facility where files sent via SFTP, a secure mode of transmission can be accepted. After all, you are outsourcing your employees payroll information. Ensuring that payslips and p60s will be processed accurately, securely and confidentially should be key to your selection process.</p>
<h2><span style="color: #663399;">What else can I do to ensure the supplier can deliver the service we asked for?</span></h2>
<p>Ask questions, no matter how trivial they might sound they are important and relevant to you. The surest way is to visit the production facility and follow the process through from start to finish if you are happy that the supplier can show you a comprehensive, secure facility and can demonstrate work they do for other companies along with case studies and references then your evaluation is complete.</p>
<h2><span style="color: #663399;">How do we go about implementing the project?</span></h2>
<p>The right supplier will effectively manage the project from start to finish for you. Reminding you of key dates and deadlines thus justifying their service pricing and reducing the headaches for you. In turn you must be prepared to respond quickly to any queries and make sure the supplier has every bit of information they need to ensure the successful implementation of your project.</p>
<h2><span style="color: #663399;">We only want a short-term payroll solution?</span></h2>
<p>Although p60s come but once a year companies often need help with fluctuating peak times in payroll where there is a requirement for part-time or casual employees such as christmas time.</p>
<p>Outsourcing your payslip printing for 3- 6 months makes outsourcing an ideal choice for organisations. There is a long held belief that outsourcing involves a long drawn out contractual process and a minimum requirement of three years applicable to I.T outsourcing or payroll function but for print and mail requirements outsourcing can provide a great cost effective short-term solution.</p>

<p>The beginning of the year heralded great expectations and even the economy looked like it was digging its way out of the hole it had dug itself into.</p>
<p>Sadly it didn&#8217;t happen and the UK along with the rest of Europe continues to stay in the quagmire.</p>
<p>The onset of New Years Eve can be a time of reflection as we consider the year that has gone before.</p>
<p>With all the ups and downs of the year you could excuse yourself for feeling a little disillusioned at the prospect of 2013.</p>

<p>If you are reading this then I&#8217;ve succeeded in holding my audiences&#8217; interest? More importantly we survived the end of the world which was suppose to have occurred on 21st December.</p>
<p>As I stepped on to the plane with my family to travel back from Hamburg on the late afternoon of the 21st, I would be lying if I didn&#8217;t experience a little trepidation although its only an hour&#8217;s flight back to Luton.</p>
<p>I held my breath as we came into land and the passenger sitting next to me actually &#8220;prayed&#8221;as he muttered something in german under his breath I couldn&#8217;t help but think he knew something we didn&#8217;t?</p>
<p>The maya civilisation predicted the end of the world? They didn&#8217;t of course. It is the western interpretation of an apocalyptic ending. The maya civilisation predicted that December 21st this year simply marked the start of a new calendar.</p>

<p>For the Mayan people 21st December represents a joyous event, not an apocalyptic event. What is coming is the end of a calendar and the beginning of a new one.</p>
<p>Are we facing another seismic shift both economically and personally? Isn&#8217;t the start of any new year synonymous with change?</p>
<p>Isn&#8217;t that indicative of a New Year &#8211; new year&#8217;s resolutions, a new chapter, new beginnings, changes, planning and a time to be reflective on what we&#8217;ve learn&#8217;t from the year just past.</p>
<p>Lets reflect on what a great year 2012 has been.</p>
<p>We had the 2012 London Olympic Games to look forward to. The country was at last unified in one common goal and that was achieving olympic success and putting London and the UK firmly on the map. It was sixteen days of amazing sporting finesse and talent exhibited at the greatest show on earth.</p>
<p>Who can forget that one weekend in August! I still get goose bumps thinking about it even now!</p>

										<content:encoded><![CDATA[<p>We&#8217;ve recently been discussing RTI with our <a title="Payslip Printing" href="https://www.digitalprintmanagement.co.uk/finance-print/pay-roll-printing/">Payroll</a> Manager customers and what impact they believe it&#8217;s going ot have on their business.</p>
<p>Comments range from &#8220;really unsure how the HMRC are going to be ready to take in such a potential mass of data each month or week&#8221;; &#8220;what about data integrity?&#8221; to &#8220;We don&#8217;t know how its going to impact our business&#8221;; and what additional administrative tasks will be required?&#8221;</p>
<h2>What is RTI?</h2>
<p>Real Time Information is a new system that is being introduced by the HMRC to fundamentally improve the operation of PAYE (Pay as You Earn) Currently PAYE return process is a manual procedure that happens annually; it is prone to error and inaccuracies &#8211; employers only find out at year end if they have deducted the correct amount of tax during the year.</p>
<p>RTI will result in this information being collected regularly when employers submit their payroll submissions.</p>

<h2>Why is it changing?</h2>
<p>The current PAYE system has been in place since it was introduced in 1944 making it 68 years old; operating unchanged and is the method used by employers to pay income tax and national insurance contributions (NIC).</p>
<p>Employers deduct payments from employees&#8217; pay each week or month and for a large part; the current system works for the majority of employers and employees.</p>
<p>However, it has become prone to error, fraud and inefficiencies making it difficult for the HMRC to identify errors and assist employers and employees&#8217; to resolve problems in a timely manner.</p>

<p>The RTI system will require employers to send data about PAYE, NIC and student loans every time they pay their employees rather than with their end of year tax return.</p>
<h2>Why introduce RTI?</h2>
<p>Simple. RTI should enable HMRC to respond to errors, improve the accuracy of payroll and reduce the probability of fraud.</p>
<h2>Benefits of RTI</h2>
<p>The government wants transparency of financial status and RTI will consolidate and automate tax reconciliations for individuals. It should reduce administrative costs of PAYE by phasing out annual employer returns and removing the need to submit P45 or P46 forms.</p>
<p>RTI will prevent identity fraud, reduce errors and overpayments in the current benefits and tax credits system which will ensure that individuals are taxed correctly through PAYE.</p>

<h2>Concerns of RTI!</h2>
<p>Small businesses will struggle to implement real time reporting the Public Accounts Committee has warned the HMRC; who must or will have to find a way of supporting businesses that do not  have electronic payroll systems in place.</p>
<p>Approximately 94% of employees receive earnings electronically but small businesses without electronic payroll systems and self-employed don&#8217;t submit monthly data to HMRC. How the HMRC intends to manage these employees is yet to be worked out.</p>
<h2>How will it affect you?</h2>
<p>Instead of submitting information once a year at Payroll Year End, employers will submit information electronically to HMRC for PAYE, NIC and student loans every time employees are paid.</p>
<h2>When will it come into effect?</h2>
<p>RTI will be phased in from April 2013 and will be mandatory for all employees from October 2013.</p>
<p>The system is being piloted from April 2012 and the current timetable published by the HMRC is as follows:-</p>
<ol>
<li>March 2011 &#8211; technical specification to be issued</li>
<li>Oct 2011 &#8211; test system available to solution providers</li>
<li>April 2012 &#8211; pilot customers submitting RTI (complete by Oct 2012)</li>
<li>April 2012 &#8211; Large employers (25o+) to start RTI</li>
<li>April 2012 &#8211; Medium employers (50 to 249) to start RTI</li>
<li>Aug 2013 &#8211; small employers (&lt;49) to start RTI</li>
<li>Oct 2013 &#8211; all employers submitting RTI</li>
</ol>
<h2>What do I need to do?</h2>
<p>To get your software right you will need to ensure your payroll provider is compliant so you can submit additional RTI information required along with Bacs payments.</p>
<p>Small companies will have access to the HMRC&#8217;s basic PAYE tools which will work with RTI free of charge.</p>
<p>Ensure your data payroll is right ensuring that the payroll details for your employees are fully up to date and in the right format for RTI:-</p>
<p>Name must be your full name and official forename(s) surname; no initials and in the correct order. Date of birth must be given in the format &#8220;DD/MM/YY&#8221;. National Insurance Number (NINO) must be given as two letters, followed by six digits and end with a letter which will be either A,B,C or D.</p>
<p>With every business in the UK expected to commence migration to RTI between April 2012 and October 2013 it makes sense to prepare your business. Taking control and adopting RTI early will enable you to understand what the impact is likely to be on your business and its payroll practices, ensuring that you continue to pay your employees and HMRC on time.</p>

<p>I &#8216;m a strong advocate of the benefits that can be enjoyed by outsourcing a component of your business whether its print, payroll, billing I.T or customer services to the outsourcing of a complete department of an organisation as long as it&#8217;s a strategic fit for the company and there is utmost transparency in the way an organisation manages the process.</p>
<p>Traditionally when people think of outsourcing they associate it with big corporations who have the infrastructure and the resource to benefit from a large scale re-deployment of one of their business components.</p>
<p>But this is not the only way that outsourcing can be used effectively. Small to medium businesses can use outsourcing to their advantage. Sections 382 and 465 of the Companies Act 2006 define an SME that has a turnover of not more than £6.5 million, a balance sheet of not more than £3.26 million and 50 employees; a medium sized company with a turnover of not more than £25.9 million, a balance sheet of £12.9 million and 250 employees.</p>

<p>The same principles can be levied for any business component you are considering.</p>

<h2><span style="color: #cc66cc;">Here are 6 things to consider when outsourcing:</span></h2>
<ol>
<li><span style="color: #3333cc;">What business aspects are you struggling with? Where can your company outsource to make cost savings and streamline the organisation processes for example it might be marketing, web design, payroll printing, invoice processing/printing. All of which are important to a company but are time consuming and manually intensive.</span></li>
<li>Outsource as much as you can but not the core elements of your business after all that was the main reason the business was established unless it&#8217;s some manufacturing element that you are considering.</li>
<li><span style="color: #3333cc;">Dont be afraid to use the same company for many different things the more services that an outsource provider does for your business in relation to outsourcing the more you are likely to see volume savings. In the same way you see in the supermarket buy two get the second for free. If you are looking to automate your accounts systems such as AR/AP or outsource your invoice processing/printing make sure the provider can manage the distribution element for example you may print, mail and electronically send your invoices so make sure that the company you choose can manage this process for you and more importantly they know what they are talking about and can demonstrate success criteria.</span></li>
<li>Investigate the market place and evaluate who you think best accommodates your requirements. Don&#8217;t think short term, think medium term at least otherwise if you get it wrong it might be painful to get of and you may well end up by repeating the exercise again six months down the road.</li>
<li><span style="color: #3333cc;">Don&#8217;t be swayed by the cheapest option or choose on price alone if you do you will shoot yourself in the foot. There isn&#8217;t such a thing as a free lunch! When you see something cheap what&#8217;s the first thing that springs to mind &#8220;what&#8217;s wrong with it?&#8221; or &#8220;that sounds cheap&#8221;! &#8220;What does everyone hope for but rarely gets? A great deal?&#8221; You get what you pay for and often a company that offers a service cheaply is trying to win your business with a view to a serious price hike three months later or they haven&#8217;t understood your requirements. In which case you will find yourself in trouble and the cheaper service could have a detrimental effect on your business. Can you afford for that to happen?</span></li>
<li>Finally, know what area or business function of the business do you want to outsource? Why do you want to outsource? Be realistic about your expectations. Set a time limit to achieve your objective and most importantly work with a company that has the expertise and knowledge and can offer sound, impartial advice!</li>
