Print management has evolved since the seventies from print farmers, print brokers to print consultants and latterly multi-channel service providers.

What does print management mean for companies now?

The evolution of the internet has made finding a printer that much easier, so why use a print management consultant?

Simple. We have years of knowledge working in printing, finishing, mailing and fulfilment we have established working relationships with trade printers, who offer different types of print services.

We are the print buyer for organisations who haven’t a clue about print or print buying and we fill that missing part very nicely.

And because we know exactly which supplier is best suited for your job, we ensure that the customer gets a great job at a fair price.

There’s also an increasing need for multi-channel distribution of documents including a print and electronic version of the same document.

While the print management umbrella incorporates a little of what we do it doesn’t tell the whole story.

Print is part of the whole, but, one of the key elements is how documents are distributed.

A traditional print management company provides total management of a company’s print inventory – from business print, marketing print, direct mail, financial print, to promotional gifts and clothing.

Each component is project managed carefully with its suppliers.

Historically this is where print management companies come into their own by being able to provide expert advice and consultancy on a whole genre of print projects.

Good print management companies will provide clients with the expertise to take a print project from an idea and make it a reality.

With access to an array of suppliers, customers can be sure they are getting the best products at the best price.

Why should I pay for your services when I can buy direct?

All companies spend money on ‘print’. I use the term loosely to cover all aspects of ‘print’.

The purchasing might be assigned to the procurement department or a designated individual in-house. With increasingly limited resources – lack of people and budget restrictions, print buying is commonly split between a number of departments, with more than one person or department buying their print.

Print management companies offer expertise and skill to manufacture any type of print management project under one roof.

They learn their craft by being able to sell a variety of different products and services either as a manufacturer or as a print broker.

Print management companies aren’t tied to one specific supplier or manufacture which is great news for the customer, because you are partnering with a print company that is impartial and unbiased and buys on quality and price.

Print management companies deliver as part of their service offering print consultancy – understanding how what and why you print in-house, the production and project management process so your project is delivered on time.

The overriding factor for partnering with a print management company is their access to a supplier network that they’ve developed and nurtured over many years and this is determined by:-

What the customer wants

What market forces are driving new products and services which determines the suppliers print management companies choose to work with and up-sell their unique products/services.

Not all print management companies are made equal. Some are niche and specialist others more generalist able to deliver a plethora of different print projects.

Digital Print Management is a specialist offering print, mailing and electronic services for transpromo – invoices, cheques, bills, subscriptions, remittances, payslips and HR ancillary documents.

Great importance is placed on nurturing and developing long term supplier relationships, the print management company is the sales element of the partnership acting as the reseller, and the supplier delivering/manufacturing the product/service for the end customer.

Their sole aim is to ensure customer satisfaction which in turn means a returning customer.

The most experienced print management companies come from print backgrounds either having worked for a manufacturer or gained experience as a print broker.

Market forces coupled with knowledgable and innovative suppliers have enabled print management companies to diversify and specialise in specific areas of business print and fulfilment like payroll and multi-channel services.

Being able to carve out a niche often sets them above the parapet.

Organisations don’t have the time to find a company to print/distribute their annual P60s or weekly/monthly payslips. or sort out a marketing mailer.

And that is where print management comes in, we fill that void with knowledge and guidance.

Print management companies care about print and work closely with their suppliers to achieve a common goal the delivery of the project and customer satisfaction plus absolute assurance that we are looking after you, the customer.

As well as identifying savings in print and distribution costs, the customer benefits from expert advice and knowledge from a trusted print management partner.

And that is where print management really is NOW.

I’m a walking contradiction. I’m a big advocate of print and paper but I love the digital world too. In fact I live in both worlds for a large part of my time.

I’m a digital subscriber to The Times but I love the touch and feel of my monthly glossy fashion magazines and just for good measure I also take two digital magazine subscriptions I know I can’t help myself.

The ongoing print vs digital debate has been done to death, a long debated subject about it’s place in the order of things. You would think people would stop perpetuating the myth that all things electronic are marvellous and that the utopian ideal is a paperless office, worse, a national paper free day.

What harm has paper or print ever done. It is the first medium that children come into contact with as babies and when learning to read because they can see the words and pictures.

89% of consumers get their ideas from a print ad, which starts them on a journey toward purchasing. Paper volumes have dropped and print is likely to be a secondary or tertiary medium but used in conjunction with cross media marketing it is extremely effective.

What does it feel like to pick up a hard back book? (my preference over paper back) I love it, I love smelling old books there is a sense of history to it, I’m a bit anal about print.

Print really gets to me in a different way than screen viewing. Paper doesn’t contain hyperlinks whereas interactive screens are full of distractions with online ads which often annoy and distract my viewing. You can google a search term and end up never going back to the original text. Screens are more taxing mentally, it’s hard work navigating around a screen than a piece of paper because you are having to navigate from one screen to another to find information.

Books, magazines, catalogues, any paper medium gives you a sense of progression as you turn the page but with a screen once you have read it, it’s gone and it feels never ending.

Finding typing or spelling errors on screen is far harder than if you print out the manuscript and then the errors appear as if by magic.

Good design grabs your attention and communicates the idea, an advert can take advantage of a full page and is very effective, it has no distracting links, pop up ads or videos.

Print is everywhere – newspapers, magazines, outdoor billboards it touches you on a deeper level often unconsciously. Digital is very different. People try to work out the differences between print and digital, which one is better or more effective, why bother? The reality is each one is very effective if employed in an intelligent and thought provoking way ultimately engaging with the reader.

Fashion brands use visual imagery to promote and define their brand through fashion magazines. But they use digital channels to really engage with their target audience by telling their story, showing the personality and style of the brand and what their values are. But print is the first point of engagement that consumers have with a brand.

Multi-channel campaigns start with print then move to the digital channels. Print is a great starting point when coming up with a new idea, concept or design. When that is done it’s easier to adapt it for multi-channel campaigns.

When I think of an idea I drop it down in my evernote moleskin notebook because it’s easier and quicker than opening my iPad, by which time I’ve forgotten the thing I was suppose to remember to write down.

I love my workflowy (quick notes) and smartsheet (project task management) but by the time I’ve opened the blasted applications I’ve forgotten why I was opening it in the first place so guess what I use my tasks in my filofax, yes that ever wonderful paper based filing and index system. Isn’t it fab when you strike through a to do when you’ve completed it you just don’t get the same feeling when you do it digitally. Works for me.

Research has shown that reading from a screen is 20-30% slower than reading from paper.

Ink on paper is an enduring technology. The only thing you need is the human eye to read it.

There you have it that is why I love print and why it has such an enduring quality for me.

Tell me what you think? Are you like me or are you a complete convert to digital versions only?

In last week’s blog I talked about the rise of the use of BYOD in the workplace.

With the massive adoption of BYOD (bring your own device) and a major shift in how and where students and employees work, an enterprise mobile printing solution has to be part of an organisation’s strategy to offset the increasing demands for on-the-go printing from your BYOD.

Users will at some point have a requirement to print certain documents from their iPads, tablets and smartphones and any other device and, organisations will need to be able to provide an enterprise mobile printing solution that is both secure and effective.

Enterprise printing gives employees and students the ability to be productive whether they are on the road, at home or in the office.

Employees or visitors can print to corporate printers without having to connect to a corporate network and it supports a BYOD printing environment.

Printing can then be enabled from any smartphone, tablet, laptop or PC by emailing documents to a PrinterOn enterprise-enabled printer or by using one of the mobile printing apps available for blackberry, iOS and android devices.

How does it work?

With a plethora of networks a PrinterOn enterprise solution connects all your corporate networks and allows users at remote offices to print to all locations.

Automatic printer discovery enables employees and guests to find all printers that are online and available instantly by using the PrinterOn mobile apps.

Mobile employees can print while at the office by printing to one of the PrinterOn public printing locations or print at home using the same secure printing service.

Corporate print solutions for SAP and Oracle –print from within SAP or Oracle connecting users with enterprise bar code, RFID and document printers globally

What are the benefits?

BYOD users can be authenticated and print from any device

PrinterOn discovery automatically discovers available enterprise printers through mobile apps

Print anywhere – mobile employees can print from home, office, public location back to the enterprise print infrastructure

Flexible – users can choose how they want to print – web upload, email, mobile apps or driver

Citrix® users can print from devices like iPads, android tablets to any enterprise printer using standard file>print

Mobile printing apps for iOS, android and blackberry devices

PrinterOn will work with most print management systems

All documents are encrypted with unique AES encryption

PrinterOn is designed for growth and scalability and as printing increases and mobile users are added PrinterOn enterprise can accommodate thousands of users and print devices within a single deployment

Secure – all documents are encrypted with unique AES encryption

PrinterOn enterprise can easily be integrated into existing corporate management systems such as Active Directory or LDAP based services

PrinterOn enterprise will also integrate the mobile print workflow into existing print management tracking or auditing services, allowing mobile users to access and print jobs using existing tools and services available from third 3rd party print management or print vendors.

Embracing the freedom to print from any device and from any location ensures that employees benefit from a fully integrated secure mobile print solution, printing what they want when they need it.

In my last blog I talked about how print is changing in the face of digital competition and how working with a print management partner will become an important part of the multi-media process rather than a supplier of all things print.

The role of print management services is evolving to provide consultative expertise on how to optimise your print and marketing content, which channels are best used to distribute your communications, how to reduce postal costs and optimise print related communications to drive faster customer response times.

Print management providers have access to pre-qualified and certified supplier network for printing, fulfilment, marketing, database and design services.

Organisations are realising that having a broader overview of their business processes helps them focus on making improvements from content and document creation to how the message is delivered to its audience.

All of which create benefits that extend well beyond mere cost savings.

How to choose the right print management services partner?

Any organisation that outsources its print will benefit from reassessing what it’s marketing objectives are and what their ROI should be.

Effective customer communication management is integral to ensure that communications with the customer are highly relevant, personal and targeted and above all work across all the various channels.

Communicating with customers is an evolving process there are more channels than there were five years go and organisations have to be flexible in managing customer preferences across the channels.

Social media has become an important channel for brands to communicate messages, real time marketing via mobile are becoming increasingly vital to the cross media channel mix and knowledge of ‘print’ is no longer essential in the communications process.

Companies will make gains by partnering with a print management company that understands business process optimisation provides expert advice, knowledge and document management solutions.

8 points to consider when selecting a print management service partner

1. For the partnership to work it is vital that the print management company works closely with your ‘buyers’. I use that word loosely as most departments these tend to have some involvement with the marketing efforts of the company and not solely the marketing department.

It should be a mix of collaboration and consultation determined by the needs of the company’s marketing objectives.

2. The level of personalisation and transpromo messages coupled with customer demands for relevancy, accuracy and security of their personal information means that every part of the digital and mail piece has to be properly co-ordinated. Look for expertise in datafile management, multi-channel communications, document integrity, security and compliance.

3. Working with a print management company that is ‘neutral’ means that they will be able to choose the right service or solution that benefits the customer. With multi-channel communications evolving so fast the need for speed and flexibility are key. The print management company will be up to date with new techniques and the latest trends.

4. Working with an end-to-end supplier who adopts a consultative approach by working with you rather than for you will ensure your needs are met.

5. Can they demonstrate expertise using case studies or testimonials?

6. Are they able to provide support across all social and digital media channels throughout each stage of the communications process?

7. How easily can they adapt to change to assist you with your marketing communication efforts?

8. How robust is their print supplier network and what solutions can they offer short-term and long term?

The only thing that needs to change is the name ‘print management’. Print is no longer the whole picture rather, part of an evolving multi-channel, multi-faceted customer marketing communications mix.

In my last blog I discussed how print fits in to a cross media marketing campaign and how the effective use of a print management partner can really enhance the power of your cross media marketing.

Print is still a critical component of the marketing media mix because consumers demand choice. They dictate how they receive their marketing content from sales and marketing messages or specific information.

This has resulted in the rise of cross media marketing and the multi-channel distribution of communications in both digital and print format.

But how do companies manage the process of ensuring their brand and messages are constantly heard when most marketing budgets have limited resources and less money to spend?

Print and digital outsourcing is becoming a viable and cost efficient alternative. Companies are seeking ways not to only manage their printed content but insisting on it being integrated into their social media marketing efforts and email marketing.

This has created a new type of print management company – one that can provide support and consultation across print and the various multi-media channels.

Print outsourcing can play an important role in improving customer communications driving costs down and improving business efficiency.

What has changed is the content and how print is used in the marketing mix.

Print is not always the final end product delivered to the customer.

It is now a mix of electronic and paper based communications which has evolved out of companies using digital and social platforms along with paper to deliver their message in the form of a payslip, invoice or direct mail piece.

Therefore print outsourcing is more than just simply removing business stationery to a printer down the road, it is the integration of a variety of disciplines such as consulting services for a marketing campaign, co-ordinating print and communications with social media channels and providing unique and customised solutions.

Print outsourcing encompasses all of the above and more and businesses are recognising the value of outsourcing and working with a print management partner who can offer more than just cheap printed business stationery but business efficiencies in the form of outsourcing, advanced print capabilities and print management expertise.

Why co-ordinate your print and marketing campaigns in-house when you can work with a print management partner that can manage the process. You know the benefits of outsourcing and its not the usual cliches – ‘its not a core business function’ it should be more about what you get out of the relationship.

Working in partnership with a print management company affords you the security of working with people who have expertise and can provide print and cross media solutions because they have access to an extensive network of pre-vetted and pre-qualified local printers and solution specialists with different capabilities.

This means not carrying the risk of managing equipment in-house along with the necessary staff, if one vendor should become less competitive, another vendor will take its place such is the network of a print management partner who can provide diversity through their supplier base.

Outsourcing print is not just about removing print from your bottom line it’s more than that, it is access to a wider network of print providers because print management companies take the time to build and nurture relationships with their network ensuring that they can deliver the right solutions that customers want.

Centralising your marketing and print campaign efforts reduce costs because you aren’t having to co-ordinate your time, resources and money spread over a number of different suppliers.

The main objection to a company outsourcing their print use to be there is little to gain by doing so. But as the digital landscape has changed businesses are realising they need to exploit the expertise, knowledge, solutions and services which print management partners can provide.

Consumers demand personalisation and print is one of the media channels through which organisations target their message. Print has to be integrated into the mix and this means that customer databases must be updated and relevant to ensure that communications are co-ordinated across all the channels.

Knowledge of print-flows and data files is essential to ensure that all the components of a marketing campaign are personalised and targeted to the right audience.

Customer satisfaction, loyalty, compliance and privacy means that customers receive only the messages that are relevant and useful to them and that their personal information is kept secure.

Working with a print management partner who has knowledge of data, postal automation, sortation, print, production, content and can co-ordinate print and mail with social media offers increased benefits to a business, not just through print.

In part 2 Choosing a print management services company? How do I find the right supplier to help me co-ordinate my cross media marketing and print campaigns?

Has print really had it’s day and can digital really live forever?

In spite of the massive surge in digital communications, social media platforms and increased marketing personalisation, print continues to be a critical part of companies’ cross media marketing and communication mix.

Consumers or customers want choice and this requires a multi-channel communications delivery process or what is now referred to as cross media marketing.

I endeavour to promote print in the media mix I believe it continues to play an important role in our everyday lives. Some people enjoy reading in the digital world others like reading the printed word because it is tangible, personal and has fewer distractions.

Whether print remains or becomes extinct, newspapers, books, magazines and catalogues will no longer be the primary means of interacting with its audience in a profitable way.

When the digital world gained momentum print was always going to be impacted with reduced volumes. The rise in digital printing allowed companies to order highly personalised printed matter from 1-50 or whatever the printed job required.

Print isn’t dead, not yet, but the reality is digital offers many advantages such as speed, flexibility, search-ability, target specific, customisation, interaction and direct.

It can be updated minute by minute and change according to what is in the news making it always up to date unlike its print contemporaries.

Digital reduces the overall cost to practically zero when compared to the production and printing of a magazine therefore how can print compete with ‘free’?

Marketers are already targeting their audiences online because it is cheaper and easier to deliver to market than print is; which involves design, content, production, proofing, finally print and distribution.

By the time the print job is complete it’s most likely to be out of date making digital a more attractive proposition for companies and marketing departments.

Digital affords the opportunity to engage with the audience online which is something print can’t do.

Technology and connectivity will advance and accessibility to online content will be an everywhere experience.

But I’d be surprised if print ever really goes away completely. Paper will survive because of the content it can provide to its viewer and because of the importance it has to play in the marketers’ cross media marketing campaign.

Online content is only part of the readers experience it doesn’t engage in the same way as reading a book or magazine.

Print is physical and is potent; pictures, text, strap lines, information that you can carry around with you in the form or a book, magazine, newspaper or cut out a relevant bit of information for keeping.

You can do the same in the digital world but it’s not quite the same and then of course there’s making the time to read it.

The role of content is changing people who are reading online need to read content that is informative, engaging and useful without feeling like they are being sold to.

Print, in this environment is becoming more powerful offering an alternative way to connect with the consumer in a world full of distractions.

Print is important for a higher level of personal engagement and not necessarily needed in the communications marketing mix all of the time.

To quickly illustrate, whilst schmoozing around a very well known top end car manufacturer franchise, because I happen to love cars, I overheard one of the salesman talking to potential customers who had requested a brochure.

Eavesdropping on the conversation the couple were interested in a particular model, they’d practically made up their minds what they wanted and had requested a brochure of the model to take home so they could decide their final colour/selection choices.

The salesman responded ‘ we don’t have printed brochures anymore, but you can download what you need from our website’.

I wasn’t surprised by the response from the couple, ‘seriously you expect me to spend £40K+ on one of your cars and the car manufacturer cant be bothered to provide a glossy brochure for me to take home?’

Digital can’t provide that glossy magazine that the couple wanted. I don’t know if they went back and bought the car but the point I thought was well made, print still has it’s place in this world.

If the couple had left with their brochure, a connection in the real world would have been made and at worst the salesman would have at least taken their details with a view to messaging them and further engaging until they did buy the car.

What is the future of print?

Marketing will continue to become even more multi-channel and as marketers become ever more savvy, print is likely to remain the channel that provides the first touch point before the consumer moves into the digital world.

A good marketing campaign will include print as part of it’s overall cross media marketing package.

Booklets, catalogues, magazines, newspapers can easily be electronically formatted for online viewing on tablets, mobiles and smartphones allowing additional tools such as embedded audio, video, links and other interactive content, something that print can’t do often before the ink is dry on the paper.

But if you are pondering on buying a new car or, you are deliberating over that kitchen you’ve always wanted there’s nothing like a nice glossy brochure to walk out of the showroom with.

The last five years have seen an unprecedented rise in electronic and social media.

The final death bell for print would not have been an unrealistic thought.

Jump forward five years and print remains a respected medium used to deliver powerful marketing messages connecting the consumer in a world that has too many social media distractions.

Consumers want choice and each has a different need that is unique and personalised this has created a unique niche for a very different kind of print management company that is able to drive communications in both print and digital format. It also makes print outsourcing an important consideration for businesses to consider when planning a digital and print marketing campaign.

Being able to work with an outsourcing partner that can manage and integrate the various channels of communication makes it a very effective way of maximising business efficiencies and savings.

Brochures, magazines, books and direct mail communications can stand out from the crowd when good content and great design is paramount.

Print has one major advantage over its digital adversary – longevity and undivided attention from it’s audience.

When a piece of direct mail, postcard, catalogue is in the hands of the consumer they are more engaged than when online. The web and other electronic methods of communication serve up distractions with competing adverts and ‘noise’.

We live in an age of choice and consumers want to be communicated to the way they want.

They may be happy to receive an e-newsletter but might want printed statements and it is down to the marketers to deliver the right combination of personalised communications that suits each of their targeted audiences needs.

By making print stand out more with great content and design, adding colour providing excellent finishing thus creating a long lasting product only cements print’s relationship with the consumer by providing an engaging and a lasting connection.

How often do you receive a great piece of direct mail?

Maybe you were attracted by the message or it was an interesting information piece that you want to keep and then pin to your reminder board or to the fridge. Print has achieved its goal by creating a lasting impact.

Managing print and integrating it with a cross media marketing communications mix requires a lot of thought and effort and is a complicated process.

It requires a dedicated print management company with expertise in printing, design, database management, postal and fulfilment processes.

For many companies that level of print management skill and expertise is beyond most marketing departments and is not a core competency making outsourcing an ideal solution for improved print management internally.

Outsourcing the cross media marketing mix involves consolidating print management and print procurement with one company capable of delivering printed products with online electronic solutions in addition to being able to provide the vital consulting services needed to ensure that any cross media marketing campaign gives the best return on investment.

It’s a balance between co-ordinating print with communication across all channels.

Marketers gain a competitive advantage working with a print management partner by transforming the way they design, create, produce, distribute and integrate their customer communications.

Marketers benefit from outsourcing print management in the following ways:-

Optimising customer communications across digital and print channels

Maximise the skills and expertise of a print management partner with access to many suppliers

Brand identity is aligned by centralising all printed and digital marketing communications

Combining print spend across multiple clients maximises cost savings

Access to first class print production, pre-press, design and fulfilment optimising each campaign to the full

Greater speed and flexibility to market for revenue generating campaigns and critical customer communications

Compliance by working with a print management company who has already vetted and ensured their suppliers are able to deliver the marketers campaigns on time and in budget

Data quality management by improving bad data and removing duplicated information ensuring that personalisation is cost effective

Organisations who outsource their marketing communications gain by acquiring expertise, a dedicated print management team capable of managing the variables within a cross media marketing campaign without the marketer having to source this knowledge themselves.

The business of customer communications is ever changing.

With more channels to market to get your message heard requires an organisation to be agile in managing customer preferences across all channels.

Social media is continuing to develop it’s role in customer communication and real time mobile marketing and ‘local marketing’ are still being realised making it increasingly difficult for a company to manage these processes in-house.

Companies stand to gain benefits by working with a provider who have solutions that include print, digital and document management that can deliver personalised marketing.

Marketers can integrate their marketing campaigns like never before and provide bespoke personalised communications to match the customers wants resulting in stronger brands and increased customer loyalty.

Collaboration with a ‘print-neutral’ print management partner who can place communications jobs where their customers will get the greatest benefits ensures that the marketer gains expertise, consultation, access to a variety of multi-channel distribution networks, brand consistency and major cost benefits.

There are many benefits in working with a print management partner and one of my first blogs exemplified what a print management company can provide and how it can save a company real time and money.

With the recent developments in cross media marketing and content personalisation, working with a print management company will become an increasingly important part in the development of your business marketing strategy.

My last blog talked about the importance of content, used in the properly it can be a very effective way in engaging with the customer.

The most important aspect of any content marketing strategy is ‘interaction’.

Your marketing objective is to establish a conversation with the audience you are keen to interact with and this is where great content is key.

All of the media channels including print should be designed to facilitate the dialogue by slowly building confidence in the expertise and capabilities of your business or you.

Print media innovations are developing quickly, less than 15 years ago it would have been impossible to have a short print run of 50 12pp A5 brochures and to have them personalised and printed with variable information.

Digital print now makes that possible.

Perfume samples can be spot glued to magazines and natural essential oils such as lavender and lemon can be added to print inks to add fragrance to a page. Thermochrome inks can change colour with a change in temperature by rubbing the page to cause a colour change providing the reader with added excitement and intrigue when they read a newspaper or magazine advert or a direct mail piece with the intention of engaging with the reader on a personal level creating empathy resulting in the buying of the product.

Invisible information, hidden messages or information seen only under certain light or after a set period of time created by using UV light sensitive inks traditionally used in the cheque printing industry to prevent counterfeit have found their way into marketing campaigns providing the customer with a different print experience.

How does print help me with my digital marketing strategy?

Print media can now include markers that link printed medium with digital media. The QR code (Quick Response) is a small square code that when scanned with a smartphone opens a file or links to a URL or a PURL enabling the viewer to engage with the brand or company.

AR (Augmented Reality) is hidden content, hidden behind marker images that can be included in printed and film media but when viewed using a mobile app open a world in which the brand is at the heart of the message or create scenes in which the brand and the consumer play a role.

VIP (video-in-print) brings the audio video channel to printed media. This is a small screen 90mm wide and just 3mm thick that can be inserted into a brochure or magazine and present HD video and audio. This technology adds content that could previously only be seen on television or heard on the radio.

How can a print management company add value to my marketing strategy?

Print media, television, online, mobile technology and social media are all vital components of a potential marketing campaign, whilst only the large brands and corporations are likely to use all components to market their content, the majority of businesses will use some of the platforms in conjunction with each other to promote content. With such a range of channels available how do you ensure that you are getting the right expertise, exposure and ROI for your marketing spend.

Answer:

Step in the print management company

A print management company can provide a vast array of services and products through its distribution channels and trade supplier network, relationships that have been built up over many years. Print management companies year on year are able to save their customers 25%-30% on print spend. The job title ‘buyer’ doesn’t automatically make you an expert in print buying and knowing where to source what from who.

Print management companies are, by their very nature diverse, they’ve had to make changes to meet the needs of an ever changing marketplace and to accommodate the variety of needs of clients by being able to provide multi-channel services from data management, direct mail response and management, augmented reality, PURL’s, web to print, interactive QR codes, email and SMS marketing.

A far cry from ‘PRINT’.

Many companies find that by managing their cross media marketing efforts involves cross fertilisation of services from print to social media and companies don’t have the knowledge to deliver a cross media marketing project. Either companies will need to invest in staff that can manage the various components internally or outsource to get the best results.

What starts out as marketing or branding campaign designed for printed media, the next stage maybe email marketing and its distribution through various media channels. One person in an organisation wouldn’t be able to co-ordinate the process from print to social media let alone several people. Many don’t perceive print or social media as a core component of their business strategy because it involves so many stages, requiring you to be an expert in every channel.

Outsourcing to one company ensures that the right media channel is used for each of the respective marketing components in other words, print media with interactive QR codes might be the first step in the engagement process followed by email marketing with a PURL, SMS mobile marketing, and so on.

A print management company doesn’t have a vested interest in anyone particular media channel or supplier, they will work with the customer/company to ensure that the brand, content, service or product is effectively positioned to get the best results.

One supplier, one contact for all your cross media and social marketing needs.

Working with a proven print and fulfilment partner ensures your brand’s continuity

In spite of Royal Mail price increases and the availability of multi-channel distribution for documents, organisations still have a requirement to mail out letters, invoices, statements and remittances.

Every organisation faces the challenge of producing great content, delivering it in different formats from paper to digital and being able to produce more with less and with a reduced marketing budget.

The problem is how do you find a print and fulfilment service that that will offer expert advice and deliver the end product to your customers?

Achieving this can be a difficult task to accomplish.

Can organisations trust a potential print and fulfilment services supplier?

Is there a reason why you shouldn’t partner with a print and fulfilment supplier?

A supplier you have a good relationship with, who, will give you honest feedback which in turn helps deliver on your customer relationship strategy and grow as a business.

Suppliers are an integral part in developing and protecting your brand awareness and there are tangible benefits to working with a single vendor who understands your vision, direction and the various challenges you face as an organisation.

Selecting a reputable print and fulfilment supplier is a lot like a marriage, you need a partner that listens, understands your goals, how they will be delivered and ultimately be loyal to your company and brand.

Fundamentally it must be a partnership based on trust and communication.

Key points to think about before working with a print and fulfilment services supplier

1. What is the vision for your organisation? Where do you want it to be in say 3-5 years? What things do you want to change? How would a print and fulfilment supplier benefit the company?

2. How do you market yourself as a company? What is your brand and has it come to fruition? Are you well known? Do you have a good reputation with your customers? How are you positioned in relation to your competitors?

3. What challenges do you face within your industry? What new technologies and solutions would benefit the organisation but due to cost constraints cannot be fulfilled in-house?

How to choose the right print and fulfilment company

1. How often do they review the services with their customers?

At the very least you should be visited by your supplier every 6 months.

This will ensure you are kept up to date with latest innovations, products and services and it also gives you the opportunity to highlight any issues that you may not be happy with. It is also important to advise your supplier of any up and coming print campaigns and direct marketing efforts that are being developed.

This ensures that both you and your supplier collaborate on new projects so that you get the very best solution for your next marketing effort.

2. How proactive is the potential supplier in suggesting alternate print and fulfilment solutions to ensure you get the best service for all your printing needs?

An expert advisor will seek to understand what your intentions are as an organisation and what you hope to deliver with each marketing objective that way the supplier can stay ahead and suggest practical solutions that deliver the best results.

3. What accreditations do they have?

ISO 9001, (quality) ISO 27001 (Information Security & Management)

Having the above accreditations ensures that best practice is maintained and that procedures and processes are in place it also ensures that any confidential data is correctly managed and that the company can demonstrate the relevant protocols.

4. Is the print and fulfilment provider customer centric? Will they provide bespoke solutions for you rather than fit within the constraints of their services and equipment?

The key to any long term relationship is whether the incumbent supplier can deliver your needs now and in the future.

5. Will they be flexible and respond quickly and systematically to a change in specification or delivery dates?

What system(s) do they have in place to make sure they can manage any last minute changes?

6. Can the supplier offer free data cleansing and checking to ensure your addresses are complete and suitable for mailing discounts?

7. Is the print and fulfilment company financially stable?

How long have they been in business and what customers do they currently supply?

8. Can the print and fulfilment company produce what you want to sell today and tomorrow?

Think about the future products and services you are working on as an organisation. Can the supplier accommodate your needs now and in the future. There’s no point in establishing a rewarding relationship only to find out in year 2 that one of the marketing campaigns you intend to develop cannot be fulfilled by your supplier.

9. Does the print and fulfilment company have a great reputation?

Ask for testimonials or a list of references and it’s also a good idea to ask the supplier to give you an example of a case study

10. Is the print and fulfilment company’s pricing fair?

When reviewing print and fulfilment companies, it shouldn’t come as a surprise to see the difference in prices from one supplier to the next. By ensuring the supplier has matched your specification only then can you make a comparison between other suppliers. A higher cost may indicate that the print and fulfilment company are offering a higher level of services. Again is this what you asked for or is the supplier being proactive by demonstrating what should be incorporated into the campaign.

10. Hypothetically, if a job goes wrong, after all, we are only human, is the supplier able to demonstrate best practice? Do they have the capability to ensure that the right processes are in place to resolve the issue

A slightly difficult one to address in the ‘what if stages’ but an organisation should be able to ask the question of the supplier and establish how flexible they can be in the event of a mistake being made.

Any print and fulfilment company you consider should be happy to answer your questions and be able to demonstrate fulfilment and print capabilities so that when you decide on your chosen supplier you can be confident in the knowledge that the marketing campaign can be delivered from paper to digital to social media.

How do you choose the right printing company?

Confronted with so many potential suppliers how do you decide which printing company to choose for your print requirements or how do you outsource your payslip printing?

How do you find the right service provider when there are so many to choose from?

Which one do you select and what selection criteria do you employ?

Until recently, companies did not pay much attention to the way they reviewed their print strategies and requirements. Little or no consideration for cost was given to the various print devices, paper, supplies, general print and consumables being ordered on a daily basis.

All that changed with the onset of the financial crisis.

Companies are more aware of the need to review their print requirements.

The biggest problem is that company executives or department heads have no idea how much it is really costing them to process, print and mail out a plethora of items each week.

They have no idea of the overall cost of their print bill, the quantity of supplies they get through in a week, the number of suppliers they are using and the time spent resolving hardware problems.

Money is wasted by the continued use of unnecessary devices, obsolete hardware, staff spending time on print and I.T issues resulting in hours being lost to dealing with different vendors and suppliers.

Many companies are now appreciating the benefit of an outsourced print service reducing the complexity of managing various suppliers and spiralling in-house costs and managing print and distribution in-house.

Outsourcing print whether to a print management services company see here or by adopting a managed print service here requires knowledge and understanding of what your organisation is trying to achieve.

Too often buyers focus on one thing only and that is PRICE.

Unfortunately choosing on price alone results in the customer being dissatisfied with the quality, service or the end product.

Price should not be the only consideration when evaluating suppliers and/or vendors.

“We are buying on price only” or “we want the cheapest solution” are typical of the current climate.

The buyer can not expect a great quality product or service if he/she is buying on price alone.

To then add value to a service or product so the customer benefits becomes an impossible task.

Most companies don’t want the hassle of sourcing suppliers to manage their print, payroll or billing few know where to start looking or what considerations need to be taken into account when outsourcing.

Print is the end product – from printed payslips and invoices, cheques, direct mail to the use of MFPD’s multi-functional print devices managed in-house, all deliver paper in some shape or format and not many companies are equipped to research and employ print services that will save them money.

What is happening in the market place?

It is a print buyers haven, assuming they have the knowledge to purchase print or skills to outsource the required business function.

Print management companies, print suppliers/consumables, vendors and manufacturers are desperate to win work at any cost and the buyer can get what they want at a price they are prepared to pay.

Companies seeking these services are going to market lacking the skills required to source the right partner to work with.

20 point checklist of tips to think about before choosing your print supplier

Before you even consider the following list you need to think about the services you require?

Have an approval criteria or list of what you are looking for notably:-

Are you wanting to outsource all your corporate print from letter-headings to billing and payslip printing? (Print Management)

Are you looking to reduce the number of print devices and print in-house (Managed Print Services)

Are you looking to reduce the cost of one specific area of print such as your billing or cheque and payment processing?

Once you know what it is you are trying to achieve then the following list will provide a useful guideline, it is by no means complete or exhaustive.

1. Choose a company that can offer innovative solutions capable of adapting to your business environment.

2. That can/will provide ongoing support, consultation and recommendations that take into account your evolving business needs.

3. That has a complete solution for your requirements i.e if you are outsourcing your payslip printing you might want to adopt multi-channel distribution that includes printing and sending them electronically.

4. Offers best in class service and delivery, experienced personnel, good operational processes and protocols particularly if you are outsourcing cheque printing.

5. Check the quality of the work – what do they do, what is their niche and how will they deliver the service to you.

6. Technically competent – will the incumbent supplier be able to deliver what they say they can?

7. Is the proposed supplier financially stable?

8. Is the supplier reliable – will they fulfil/deliver the product/service in a timely manner?

9. Are they enthusiastic – can they demonstrate the extent of their knowledge of the product or service they are proposing?

10. Does the structure of the company indicate reliability and longevity in other words they aren’t going to disappear in 6 months time.

11. Do they have experienced personnel capable of advising beyond printing for example print management companies do more than just manage your print they are multi-channel partners they can provide expertise on direct marketing, SMS, data management, social media and promotional gift items.

12. Do ask for case studies and testimonials from current customers to authenticate the suppliers statements.

13. Don’t make your decision solely on price – cheap prices mean inferior quality and service.

14. Ask as many questions as possible no matter how trivial to ensure you are confident in the future service.

15. Establish what other services the supplier can provide this is useful for any future business/company developments you might have. For example they might provide direct marketing print and design capability or can advise you on your social media marketing strategy.

16. Visit the site or manufacturing premises – is it secure if printing cheques and payslips? If it’s a managed print solution ask to visit a managed site to establish how it works or request a reference site to discuss how the company are benefiting from MPS (managed print service)

17. Check the reputation of the supplier – ask for a client list and check the website what do they talk about, what services are they advertising?

18. Ask for a trial run for example can the print company offer to print some basic items free of charge? If it’s an outsource service such as payslip printing ask the supplier if they are able to take a data file and provide a print out for a minimum fee so you experience the service first hand.

19. Use social media to see how your supplier engages with its audience. Do they offer expert advice and help in the form of great content, are they on all the social media networks?

20. Be loyal to your print provider or outsource partner. Once you have found the right printing company or partner keep them. Having a good relationship will ensure you can look to them for all manner of printed or outsourced information and advice and in turn they are more likely to offer you discounts, give you a first class service and provide additional services.

Are there any criteria you would use in addition to the above?

How did you find your print partner and how successful has the relationship been?
