In last week’s blog I talked about the rise of the use of BYOD in the workplace.

With the massive adoption of BYOD (bring your own device) and a major shift in how and where students and employees work, an enterprise mobile printing solution has to be part of an organisation’s strategy to offset the increasing demands for on-the-go printing from your BYOD.

Users will at some point have a requirement to print certain documents from their iPads, tablets and smartphones and any other device and, organisations will need to be able to provide an enterprise mobile printing solution that is both secure and effective.

Enterprise printing gives employees and students the ability to be productive whether they are on the road, at home or in the office.

Employees or visitors can print to corporate printers without having to connect to a corporate network and it supports a BYOD printing environment.

Printing can then be enabled from any smartphone, tablet, laptop or PC by emailing documents to a PrinterOn enterprise-enabled printer or by using one of the mobile printing apps available for blackberry, iOS and android devices.

How does it work?

With a plethora of networks a PrinterOn enterprise solution connects all your corporate networks and allows users at remote offices to print to all locations.

Automatic printer discovery enables employees and guests to find all printers that are online and available instantly by using the PrinterOn mobile apps.

Mobile employees can print while at the office by printing to one of the PrinterOn public printing locations or print at home using the same secure printing service.

Corporate print solutions for SAP and Oracle –print from within SAP or Oracle connecting users with enterprise bar code, RFID and document printers globally

What are the benefits?

BYOD users can be authenticated and print from any device

PrinterOn discovery automatically discovers available enterprise printers through mobile apps

Print anywhere – mobile employees can print from home, office, public location back to the enterprise print infrastructure

Flexible – users can choose how they want to print – web upload, email, mobile apps or driver

Citrix® users can print from devices like iPads, android tablets to any enterprise printer using standard file>print

Mobile printing apps for iOS, android and blackberry devices

PrinterOn will work with most print management systems

All documents are encrypted with unique AES encryption

PrinterOn is designed for growth and scalability and as printing increases and mobile users are added PrinterOn enterprise can accommodate thousands of users and print devices within a single deployment

Secure – all documents are encrypted with unique AES encryption

PrinterOn enterprise can easily be integrated into existing corporate management systems such as Active Directory or LDAP based services

PrinterOn enterprise will also integrate the mobile print workflow into existing print management tracking or auditing services, allowing mobile users to access and print jobs using existing tools and services available from third 3rd party print management or print vendors.

Embracing the freedom to print from any device and from any location ensures that employees benefit from a fully integrated secure mobile print solution, printing what they want when they need it.

In my last blog I discussed how print fits in to a cross media marketing campaign and how the effective use of a print management partner can really enhance the power of your cross media marketing.

Print is still a critical component of the marketing media mix because consumers demand choice. They dictate how they receive their marketing content from sales and marketing messages or specific information.

This has resulted in the rise of cross media marketing and the multi-channel distribution of communications in both digital and print format.

But how do companies manage the process of ensuring their brand and messages are constantly heard when most marketing budgets have limited resources and less money to spend?

Print and digital outsourcing is becoming a viable and cost efficient alternative. Companies are seeking ways not to only manage their printed content but insisting on it being integrated into their social media marketing efforts and email marketing.

This has created a new type of print management company – one that can provide support and consultation across print and the various multi-media channels.

Print outsourcing can play an important role in improving customer communications driving costs down and improving business efficiency.

What has changed is the content and how print is used in the marketing mix.

Print is not always the final end product delivered to the customer.

It is now a mix of electronic and paper based communications which has evolved out of companies using digital and social platforms along with paper to deliver their message in the form of a payslip, invoice or direct mail piece.

Therefore print outsourcing is more than just simply removing business stationery to a printer down the road, it is the integration of a variety of disciplines such as consulting services for a marketing campaign, co-ordinating print and communications with social media channels and providing unique and customised solutions.

Print outsourcing encompasses all of the above and more and businesses are recognising the value of outsourcing and working with a print management partner who can offer more than just cheap printed business stationery but business efficiencies in the form of outsourcing, advanced print capabilities and print management expertise.

Why co-ordinate your print and marketing campaigns in-house when you can work with a print management partner that can manage the process. You know the benefits of outsourcing and its not the usual cliches – ‘its not a core business function’ it should be more about what you get out of the relationship.

Working in partnership with a print management company affords you the security of working with people who have expertise and can provide print and cross media solutions because they have access to an extensive network of pre-vetted and pre-qualified local printers and solution specialists with different capabilities.

This means not carrying the risk of managing equipment in-house along with the necessary staff, if one vendor should become less competitive, another vendor will take its place such is the network of a print management partner who can provide diversity through their supplier base.

Outsourcing print is not just about removing print from your bottom line it’s more than that, it is access to a wider network of print providers because print management companies take the time to build and nurture relationships with their network ensuring that they can deliver the right solutions that customers want.

Centralising your marketing and print campaign efforts reduce costs because you aren’t having to co-ordinate your time, resources and money spread over a number of different suppliers.

The main objection to a company outsourcing their print use to be there is little to gain by doing so. But as the digital landscape has changed businesses are realising they need to exploit the expertise, knowledge, solutions and services which print management partners can provide.

Consumers demand personalisation and print is one of the media channels through which organisations target their message. Print has to be integrated into the mix and this means that customer databases must be updated and relevant to ensure that communications are co-ordinated across all the channels.

Knowledge of print-flows and data files is essential to ensure that all the components of a marketing campaign are personalised and targeted to the right audience.

Customer satisfaction, loyalty, compliance and privacy means that customers receive only the messages that are relevant and useful to them and that their personal information is kept secure.

Working with a print management partner who has knowledge of data, postal automation, sortation, print, production, content and can co-ordinate print and mail with social media offers increased benefits to a business, not just through print.

In part 2 Choosing a print management services company? How do I find the right supplier to help me co-ordinate my cross media marketing and print campaigns?

Working with a proven print and fulfilment partner ensures your brand’s continuity

In spite of Royal Mail price increases and the availability of multi-channel distribution for documents, organisations still have a requirement to mail out letters, invoices, statements and remittances.

Every organisation faces the challenge of producing great content, delivering it in different formats from paper to digital and being able to produce more with less and with a reduced marketing budget.

The problem is how do you find a print and fulfilment service that that will offer expert advice and deliver the end product to your customers?

Achieving this can be a difficult task to accomplish.

Can organisations trust a potential print and fulfilment services supplier?

Is there a reason why you shouldn’t partner with a print and fulfilment supplier?

A supplier you have a good relationship with, who, will give you honest feedback which in turn helps deliver on your customer relationship strategy and grow as a business.

Suppliers are an integral part in developing and protecting your brand awareness and there are tangible benefits to working with a single vendor who understands your vision, direction and the various challenges you face as an organisation.

Selecting a reputable print and fulfilment supplier is a lot like a marriage, you need a partner that listens, understands your goals, how they will be delivered and ultimately be loyal to your company and brand.

Fundamentally it must be a partnership based on trust and communication.

Key points to think about before working with a print and fulfilment services supplier

1. What is the vision for your organisation? Where do you want it to be in say 3-5 years? What things do you want to change? How would a print and fulfilment supplier benefit the company?

2. How do you market yourself as a company? What is your brand and has it come to fruition? Are you well known? Do you have a good reputation with your customers? How are you positioned in relation to your competitors?

3. What challenges do you face within your industry? What new technologies and solutions would benefit the organisation but due to cost constraints cannot be fulfilled in-house?

How to choose the right print and fulfilment company

1. How often do they review the services with their customers?

At the very least you should be visited by your supplier every 6 months.

This will ensure you are kept up to date with latest innovations, products and services and it also gives you the opportunity to highlight any issues that you may not be happy with. It is also important to advise your supplier of any up and coming print campaigns and direct marketing efforts that are being developed.

This ensures that both you and your supplier collaborate on new projects so that you get the very best solution for your next marketing effort.

2. How proactive is the potential supplier in suggesting alternate print and fulfilment solutions to ensure you get the best service for all your printing needs?

An expert advisor will seek to understand what your intentions are as an organisation and what you hope to deliver with each marketing objective that way the supplier can stay ahead and suggest practical solutions that deliver the best results.

3. What accreditations do they have?

ISO 9001, (quality) ISO 27001 (Information Security & Management)

Having the above accreditations ensures that best practice is maintained and that procedures and processes are in place it also ensures that any confidential data is correctly managed and that the company can demonstrate the relevant protocols.

4. Is the print and fulfilment provider customer centric? Will they provide bespoke solutions for you rather than fit within the constraints of their services and equipment?

The key to any long term relationship is whether the incumbent supplier can deliver your needs now and in the future.

5. Will they be flexible and respond quickly and systematically to a change in specification or delivery dates?

What system(s) do they have in place to make sure they can manage any last minute changes?

6. Can the supplier offer free data cleansing and checking to ensure your addresses are complete and suitable for mailing discounts?

7. Is the print and fulfilment company financially stable?

How long have they been in business and what customers do they currently supply?

8. Can the print and fulfilment company produce what you want to sell today and tomorrow?

Think about the future products and services you are working on as an organisation. Can the supplier accommodate your needs now and in the future. There’s no point in establishing a rewarding relationship only to find out in year 2 that one of the marketing campaigns you intend to develop cannot be fulfilled by your supplier.

9. Does the print and fulfilment company have a great reputation?

Ask for testimonials or a list of references and it’s also a good idea to ask the supplier to give you an example of a case study

10. Is the print and fulfilment company’s pricing fair?

When reviewing print and fulfilment companies, it shouldn’t come as a surprise to see the difference in prices from one supplier to the next. By ensuring the supplier has matched your specification only then can you make a comparison between other suppliers. A higher cost may indicate that the print and fulfilment company are offering a higher level of services. Again is this what you asked for or is the supplier being proactive by demonstrating what should be incorporated into the campaign.

10. Hypothetically, if a job goes wrong, after all, we are only human, is the supplier able to demonstrate best practice? Do they have the capability to ensure that the right processes are in place to resolve the issue

A slightly difficult one to address in the ‘what if stages’ but an organisation should be able to ask the question of the supplier and establish how flexible they can be in the event of a mistake being made.

Any print and fulfilment company you consider should be happy to answer your questions and be able to demonstrate fulfilment and print capabilities so that when you decide on your chosen supplier you can be confident in the knowledge that the marketing campaign can be delivered from paper to digital to social media.

How do you choose the right printing company?

Confronted with so many potential suppliers how do you decide which printing company to choose for your print requirements or how do you outsource your payslip printing?

How do you find the right service provider when there are so many to choose from?

Which one do you select and what selection criteria do you employ?

Until recently, companies did not pay much attention to the way they reviewed their print strategies and requirements. Little or no consideration for cost was given to the various print devices, paper, supplies, general print and consumables being ordered on a daily basis.

All that changed with the onset of the financial crisis.

Companies are more aware of the need to review their print requirements.

The biggest problem is that company executives or department heads have no idea how much it is really costing them to process, print and mail out a plethora of items each week.

They have no idea of the overall cost of their print bill, the quantity of supplies they get through in a week, the number of suppliers they are using and the time spent resolving hardware problems.

Money is wasted by the continued use of unnecessary devices, obsolete hardware, staff spending time on print and I.T issues resulting in hours being lost to dealing with different vendors and suppliers.

Many companies are now appreciating the benefit of an outsourced print service reducing the complexity of managing various suppliers and spiralling in-house costs and managing print and distribution in-house.

Outsourcing print whether to a print management services company see here or by adopting a managed print service here requires knowledge and understanding of what your organisation is trying to achieve.

Too often buyers focus on one thing only and that is PRICE.

Unfortunately choosing on price alone results in the customer being dissatisfied with the quality, service or the end product.

Price should not be the only consideration when evaluating suppliers and/or vendors.

“We are buying on price only” or “we want the cheapest solution” are typical of the current climate.

The buyer can not expect a great quality product or service if he/she is buying on price alone.

To then add value to a service or product so the customer benefits becomes an impossible task.

Most companies don’t want the hassle of sourcing suppliers to manage their print, payroll or billing few know where to start looking or what considerations need to be taken into account when outsourcing.

Print is the end product – from printed payslips and invoices, cheques, direct mail to the use of MFPD’s multi-functional print devices managed in-house, all deliver paper in some shape or format and not many companies are equipped to research and employ print services that will save them money.

What is happening in the market place?

It is a print buyers haven, assuming they have the knowledge to purchase print or skills to outsource the required business function.

Print management companies, print suppliers/consumables, vendors and manufacturers are desperate to win work at any cost and the buyer can get what they want at a price they are prepared to pay.

Companies seeking these services are going to market lacking the skills required to source the right partner to work with.

20 point checklist of tips to think about before choosing your print supplier

Before you even consider the following list you need to think about the services you require?

Have an approval criteria or list of what you are looking for notably:-

Are you wanting to outsource all your corporate print from letter-headings to billing and payslip printing? (Print Management)

Are you looking to reduce the number of print devices and print in-house (Managed Print Services)

Are you looking to reduce the cost of one specific area of print such as your billing or cheque and payment processing?

Once you know what it is you are trying to achieve then the following list will provide a useful guideline, it is by no means complete or exhaustive.

1. Choose a company that can offer innovative solutions capable of adapting to your business environment.

2. That can/will provide ongoing support, consultation and recommendations that take into account your evolving business needs.

3. That has a complete solution for your requirements i.e if you are outsourcing your payslip printing you might want to adopt multi-channel distribution that includes printing and sending them electronically.

4. Offers best in class service and delivery, experienced personnel, good operational processes and protocols particularly if you are outsourcing cheque printing.

5. Check the quality of the work – what do they do, what is their niche and how will they deliver the service to you.

6. Technically competent – will the incumbent supplier be able to deliver what they say they can?

7. Is the proposed supplier financially stable?

8. Is the supplier reliable – will they fulfil/deliver the product/service in a timely manner?

9. Are they enthusiastic – can they demonstrate the extent of their knowledge of the product or service they are proposing?

10. Does the structure of the company indicate reliability and longevity in other words they aren’t going to disappear in 6 months time.

11. Do they have experienced personnel capable of advising beyond printing for example print management companies do more than just manage your print they are multi-channel partners they can provide expertise on direct marketing, SMS, data management, social media and promotional gift items.

12. Do ask for case studies and testimonials from current customers to authenticate the suppliers statements.

13. Don’t make your decision solely on price – cheap prices mean inferior quality and service.

14. Ask as many questions as possible no matter how trivial to ensure you are confident in the future service.

15. Establish what other services the supplier can provide this is useful for any future business/company developments you might have. For example they might provide direct marketing print and design capability or can advise you on your social media marketing strategy.

16. Visit the site or manufacturing premises – is it secure if printing cheques and payslips? If it’s a managed print solution ask to visit a managed site to establish how it works or request a reference site to discuss how the company are benefiting from MPS (managed print service)

17. Check the reputation of the supplier – ask for a client list and check the website what do they talk about, what services are they advertising?

18. Ask for a trial run for example can the print company offer to print some basic items free of charge? If it’s an outsource service such as payslip printing ask the supplier if they are able to take a data file and provide a print out for a minimum fee so you experience the service first hand.

19. Use social media to see how your supplier engages with its audience. Do they offer expert advice and help in the form of great content, are they on all the social media networks?

20. Be loyal to your print provider or outsource partner. Once you have found the right printing company or partner keep them. Having a good relationship will ensure you can look to them for all manner of printed or outsourced information and advice and in turn they are more likely to offer you discounts, give you a first class service and provide additional services.

Are there any criteria you would use in addition to the above?

How did you find your print partner and how successful has the relationship been?

Will 3D printing change the world we live in?

If anyone was in any way uncertain of 3D printing, they probably aren’t now.

The world’s first gun made with 3D printer technology was made available on line and within hours its blueprints had been downloaded over 100,000 times. [Source: Forbes]

The controversy and security surrounding the production of the 3D gun made by a Texan based company I’m sure will be deliberated long in to the month of May.

But what many people don’t know is “what is 3D printing?”

What is 3D printing?

Additive manufacturing or 3D printing is a process of making a three-dimensional solid object of virtually any shape from a digital model. 3D printing is achieved using an additive process where successive layers of material are laid down until the entire object is complete. [Source: wikipedia]

Imagine a gateau cake, instead of the customary 3 layers, each layer would be laid down systematically one at a time until the gateau is formed and looks like a gateau. In a nutshell that is 3D printing.

How does it work?

A 3D printed object starts with a digital computer aided design or CAD for short created using a 3D modelling program or scanned into a 3D modelling program using a 3D scanner.

The software program preps the digital file by slicing the design into hundreds or even thousands of horizontal layers and provides instructions in 3D printer language so that the printer can read the file to create each layer identically to the specification of the object required. As each layer is created they blend together with no visible layering creating a three dimensional object.

Will 3D printing become mainstream?

Many people have yet to hear or understand what 3D printing is and what it is capable of creating. Yet despite its seemingly newness to the world of media and print, the process associated with 3D printing has been around for decades.

Manufacturers have used the printers in the design process to create prototypes in traditional manufacturing.

3D started initially in the aerospace and automotive industry making prototypes and more recently its been coveted by surgeons for replacement bones. Some companies are using 3D printers for short run or custom manufacturing of bespoke objects.

Fast 3D printers costing thousands aren’t quite mainstream yet but with technological improvements it will get faster and become readily available as the price of 3D printers goes down.

The technology certainly has the capacity to affect industry and our personal lives.

Medicine is already making advances in bioprinters capable of reproducing human tissue for pharmaceutical testing its far reaching developments have already lead to entire organs and bones being reconstructed.

Research director at Gartner Pete Basiliere said” 3D printing is a technology accelerating to mainstream adoption. The hype leads many people to think the technology is some years away, when it is available now and affordable to most organisations. In three years a high quality 3D printer could got less than £1,500.00″.

3D printing can create any object in 3D, from replacement body parts to a pair of shoes.

But who will want to own a 3D printer and what do you intend to make with it?

Is 3D printing likely to be available from high street copy shops and is that where the public will go if they need a new door knob or a washing machine part? Taking a downloaded file of the object that you require to be 3D printed and call in to your local copy shop to get the replacement part?

The implications for this technology are far reaching. More importantly what are the limitations to what can be made using 3D technology? After all if a company can manufacture a blueprint design for a gun could the next thing be a WMD (weapon of mass destruction)?

Its likely to be a good ten maybe even twenty years before we see home ownership of 3D printers on a mass scale.

Even if you make your own replacement gizmo you still need the means to fit the part. Take a ball cock if you’re not a plumber you might find it difficult to fit it without the expertise of a plumber.

3D printing will have to become a technology that will enhance our home place and improve it, in much the same way as tablets and smart phones that have and still do fulfil a human need, 3D printing will have to offer the consumer something we don’t have presently.

And I dont see myself anytime soon becoming a purveyor of objects and figurines for my home.

Old mobile phones. But look how technology has moved on in just 5 years.

It is undoubtedly a technology capable of creating useful objects but the technology has future ramifications that are likely to be far reaching and as yet unknown with potential effects on the environment, waste and energy use.

Like any new technology if there is consumer need then this will drive it’s momentum and its use.

The introduction and mainstream use of such a technology when the consumer is ready for it will change the world as we know it and then we will wonder how we ever managed with out it in our lives.

Remember this?

As did the mobile phone and the VCR!

What do you think? A technology that society will benefit from or another fad?

Document capture software can improve the speed of your invoice processing and e-invoices can also be incorporated into the flow.

Are you still printing and scanning PDF invoices from your suppliers?

As of January 1st 2013 the European Union issued new legislation that states companies can now store invoices in the format they are sent.

Having a document capture solution allows you to have invoices sent by email to a specific email address where data capture software will automatically retrieve the email and attachments, read the data and input it into the same flow as your paper invoices. Reducing the time taken, reducing costs and eliminating human error by automating the process.

By removing the need to print the invoice and then scan the document you are cutting down on paper usage.

Encouraging suppliers to send e-invoices by email ensures the process is faster and cheaper.

So how does the document capture solution work?

Data capture software automatically imports email attachments such as invoices, order forms and applications straight into the capture software where information is then extracted and managed.

The software automatically detects any attachment – PDF, XML, TIF, PNG and transfers it to the data capture software. Incoming mail attachments can be approved in a matter of seconds and as each email is processed it is removed from the mail server and archived, there is no limit on the number of invoices or forms entering the system as removing from the server will ensure there is no overload.

Forms processing and Automation

‘Forms’ captures and processes all types of forms in any format. The software reads handwritten text, machine print, barcodes, check boxes, circles, tables and matrixes.

Automatic forms processing is much faster than the manual keying of information it reduces time and money and the information is accurate.

Automated Document Processing

‘Documents’ automates the processing of incoming email to cut operational costs typically by a third. Staff aren’t tied up in laborious tasks of sifting, sorting, identifying and classifying mail items this task is automatically managed by the process. Any incoming paper mail is added to the scanner without any separator sheets and the software sorts and classifies the documents. Any electronic documents are easily incorporated into the flow.

E-invoicing solutions can detect any attachment PDF, TIF, XML, PNG and transfer it to the data capture software

Automated import of email attachments

‘Collector’ automatically imports email attachments such as invoices, order forms and applications straight into the capture software where the information is then extracted and interpreted.

Collector detects any attachment PDF, XML, TIF, PNG and transfers it to ReadSoft’s© data capture software.

Statistics on your invoice processing

The web based ‘reporter’ helps you keep track of documents and costs and provides accurate real time information.

Integrated print management software ensures printed documents are secure and remain confidential.

Secure printing for any organisation is vitally important where sensitive information is concerned. Using secure print tracking software is essential in maintaining an organisations credibility.

Any breaches of the Data Protection Act of 1998 can lead to fines issued by the ICO (Information Commissioners Office).

Professional services companies and local government organisations are particularly susceptible where client data is concerned.

The days when reams of paper were left discarded at the printer should be long gone; leaving confidential information for anyone to pick up and read is careless in today’s office environment.

Sensitivity of data is paramount particularly in departments of local government such as childrens’ services who deal with sensitive data on a day to day basis.

Implementing a secure print management solution and secure network printing ensures that only the person who prints the information can collect and view it using user authentication.

Case study

For one City Council this proved to have a serious effect on the department and yet the situation could easily have been avoided. Two case workers who work with vulnerable children, printed reports to a shared network printer with no secure print software in place.

The first case worker was trying to print a report on child A but the device failed to print, the case worker left with the print job still in the print queue.

The second case worker then went to print a report on child B from the same device by which time the first case workers report had actually printed.

Both prints outs were collected by the second case worker who mistakenly and unknowingly picked up papers relating to child A.

As a consequence of this, the mother of child B was sent personal details of both child A and child B. This was reported to the ICO and the city council.

The mother of child A was also contacted by mother of child B and advised of this breach in confidentiality.

This incident happened because of human error; it wasn’t done intentionally but in this instance it caused embarrassment to the council. The incident was further compounded by the lack of secure print management software. The printing and despatch of sensitive data to clients did not include adequate checks.

Steps taken

As a direct result of the mis-management of information the council installed a new printing procedure requiring staff to enter an ID at the device before their documents can be printed and released.

Any documents which are not printed within twelve hours are auto-deleted from the print queue. This removes any unwanted print jobs from the system.

“Integrated print management software ensures printed documents are secure and remain confidential”

Setting up print management software that networks printers and MFPs (multi-functional printers) is the the most effective way for safe guarding against print mis-management which can potentially lead to data protection breaches.

Print tracking software saves time and money and is the easiest way of avoiding data protection breaches.

Benefits of print management software

User authentication before the print job starts means that only authorised people can collect their finished print jobs

By enforcing print rules, print jobs can be allocated to the most economical and efficient printer

There is a potential print saving of up to 30% on print costs

With an effective print management tracking solution in place, printed jobs are only printed when authorised reducing paper wastage and complementing a greener office policy

WARNING: THIS BLOG COMES WITH A HEALTH WARNING… IT’S A TAD LONG. BUT YOU’LL SEE WHY AT THE END.

Here we are the last day of 2012 and what a year its been. It only seemed like yesterday that I sat at this very desk and typed my epilogue for 2011.

The beginning of the year heralded great expectations and even the economy looked like it was digging its way out of the hole it had dug itself into.

Sadly it didn’t happen and the UK along with the rest of Europe continues to stay in the quagmire.

The onset of New Years Eve can be a time of reflection as we consider the year that has gone before.

With all the ups and downs of the year you could excuse yourself for feeling a little disillusioned at the prospect of 2013.

New Year’s Resolutions?

If you are reading this then I’ve succeeded in holding my audiences’ interest? More importantly we survived the end of the world which was suppose to have occurred on 21st December.

As I stepped on to the plane with my family to travel back from Hamburg on the late afternoon of the 21st, I would be lying if I didn’t experience a little trepidation although its only an hour’s flight back to Luton.

I held my breath as we came into land and the passenger sitting next to me actually “prayed”as he muttered something in german under his breath I couldn’t help but think he knew something we didn’t?

The maya civilisation predicted the end of the world? They didn’t of course. It is the western interpretation of an apocalyptic ending. The maya civilisation predicted that December 21st this year simply marked the start of a new calendar.

“Mayan refers to the indigenous peoples of South-East Mexico, Central America notably Guatelmala. Mayan was actually spoken by the maya people and the maya calendar was used by the mayan civilisation”.

For the Mayan people 21st December represents a joyous event, not an apocalyptic event. What is coming is the end of a calendar and the beginning of a new one.

Are we facing another seismic shift both economically and personally? Isn’t the start of any new year synonymous with change?

Isn’t that indicative of a New Year – new year’s resolutions, a new chapter, new beginnings, changes, planning and a time to be reflective on what we’ve learn’t from the year just past.

Lets reflect on what a great year 2012 has been.

We had the 2012 London Olympic Games to look forward to. The country was at last unified in one common goal and that was achieving olympic success and putting London and the UK firmly on the map. It was sixteen days of amazing sporting finesse and talent exhibited at the greatest show on earth.

Who can forget that one weekend in August! I still get goose bumps thinking about it even now!

Digital Print Management advises and guides companies on the importance of how to go about outsourcing… just about anything so we’ve taken the best of the year’s blogs and stuck them here as a reminder of what were the best and most useful to you our audience and customer and we thank you for reading and contributing.

Round up of the year’s best blogs.

In January we talked about the differences between what is print management and managed print services a simple guide to understanding the differences.

With p60 time looming in April there was a helpful guide on how to go about having hassle free p60 printing

February provided top tips on how to benefit from outsourcing, automate your AR function and how to implement paperless billing in your company.

March saw the launch of our print-2-mail service and how easy it is for companies to manage printing and posting out invoices, statements and practically any customer letter without moving from your desk.

April saw a brief guide on RTI (Real Time Information) and the impact it’s likely to have on businesses in 2013. This is particularly important for payroll managers and business owners.

Paper chasing and outsourcing business processes dominated May’s round up.

June saw us delve into the murky waters of invoice processing and how to automate and streamline the process.

July concentrated on how to save money using hybrid mail and how to reduce print costs in your organisation.

Document Management Systems and strategies, controlling print costs and Invoice Management were the order of the month of August.

September discussed the importance of Accounts Receivable and how to automate payment allocations.

We then provided a guide on how to outsource your debt collection letters and a really important blog about making sure printed information is kept secure.

November – really exciting month firstly because its getting close to Christmas so we in the office start to feel a tad christmassy but we spent some time on payroll outsourcing and my favourite data cleansing and what this means if you do it right.

Wow we are in December, how quickly the year has gone! It is the month of why invoice scanning is so important to the AP process, then there was print management solutions for professional services companies.

Finally if you really wanted something completely different from what you’ve come to expect, we threw caution to the wind.

Working from home use to be such a big deal and now companies actively encourage it what do you think?

Mobile working and how it’s changed our lives.

With so much social media or anti-social media we talked about how great it feels to tune out once in a while and actually read a book. Are you switching off from digital media?

With the business landscape having changed so radically over the last 20+ years I found researching this blog particularly relevant what’s in a business relationship? Do you feel the same way?

Next to my family I love Formula 1 Motor Racing so I knocked this one out after Sebastian Vettel won his third consecutive world championship. The importance of teamwork and why its integral to any business.

If you’ve got to the bottom of this blog without faltering then a big T-H-A-N-K-Y-O-U for reading, for liking us, following us and connecting with us in 2012.

My final note for the year:

“Success is not final, failure is not fatal. It is the courage to continue that counts” (Winston Churchill)

With the growth of the economy in reverse mode and the Chancellor exclaiming that it’s going to take longer to recover from the financial crisis (although the national debt has reduced) companies will be striving to look at ways of streamlining their operations and improving efficiency.

There’s an argument that suggests the more economically challenged the economy is the greater opportunities there are to be exploited.

Only the strong succeed, losers need not apply spring to mind. Therefore our business objectives need to include a strong will, being well prepared and persistence.

The companies who include the above in their business objectives are likely to survive the global doom and come out on top on the other side.

Recently one company/manufacturer with a turnover of £10 million+ told me “we’ve tried everything, we’ve exhausted every possibility, the business is as solid as it can be given the current climate but no-one is buying anything. You can’t sell it if people can’t buy it because they haven’t been given a budget.”

Are you keeping a close eye on your profit? All well and good looking at the cash value in the bank but are you making a profit. There is always something companies can do to make sure they are running a tight ship and are as efficient as they can be.

There is no magic wand to fix the erring global economy and for many businesses, survival is making it from one month to the next; one week to the next.

The companies that win are those who lead, take the initiative and are not afraid.

Businesses that remain focussed use initiative and aren’t afraid will fare well in 2013.

Here are some points to consider:-

1. Rely on no one – does this sound cynical? Success will not happen until you accept that no one thing or no one person is the cause of your problems and only you can make your goals happen.

2. It’s unlikely that the economy is suddenly going to do a u-turn anytime soon so it’s important to make sure we are aware of any industry changes that might have an impact on our business or us personally. Make yourself invaluable to your company (as an employee) and to your customers by being visible and offering solutions even if they are not in the frame of mind to consider them. At least it demonstrates entrepreneurial intent and that you have the customers best interests at heart.

3. Be more pro-active. Just when you think you’ve exhausted all avenues talk to other businesses, colleagues, associates and customers. Find out what they are doing, how are they generating business, what marketing initiatives have they deployed that you might not have done yet? Set small goals and tick them off when they are done. It could be a change in the workflow process that can make all the difference in increasing your profit margin.

4. Be upbeat – at the start of this year, the majority of businesses we spoke to were. There was a sense of optimism in the air, sales were being done and then along came the Greek economic crisis and kicked everyone out of touch. Nothing like a bad bit of economic news to knock businesses. Being upbeat and optimistic separates us from the rest of the “done-in” crowd.

Each day our world is rocked by events that are either unplanned or completely unexpected by staying focussed and working on a plan keeps us calm and less stressed.

5. Be ever-present everywhere. Now is not the time to live in obscurity. Let potential customers know you are there.

Have a social media strategy, showcase your company with up to date content on your website, tell your companies success stories and share your success openly.

It defines the importance of keeping focussed and why we are actually in business and these things are sometimes forgotten when we are in the thick of things.

6. What if you’ve lost that va va voom; the passion you need that gives you the reason to get up in the morning? Think about a business coach or a friend who can be objective enough to give you advice.

Finally…

If you no longer enjoy what you are doing then its time to take a good look and understand why.

If you’re not enjoying what you are doing then you need to take a long hard look at the reasons why.

Be honest with yourself and if the job or the business is not working and you’ve exhausted every avenue; if the passion has gone completely and you are not motivated to continue, then its time to take a long hard look and make a decision about whether you continue.

Could it be there is no longer a market or niche for your products or services in which case is it time to cut your losses and ship on out? Sometimes things happen for a reason and events are out of our hands.

This is not being negative its being a realist.

Too many companies bury their heads in the sand and think the next week or month will be better when the profit and loss sheet tells a different story.

What do you think?

How are you keeping ahead of the economy?

What tactics have you employed to get through the downturn?

This week I am focussing on the benefits that can be derived from having an automated Proof Of Delivery process.

Doing so will lower your costs, increase efficiency, and improve customer service.

Is this your business?

Still, relying on paper documents coming back to your depot to validate delivery of your goods?
Orders taken at your customers’ premises are they being fed back to the customer service team as fast as you’d like?

Does this represent your proof of delivery process?

Automating the Proof of Delivery process removes the risks associated with manual paper handling of delivery notes through to the invoicing.

Manual processing is expensive, tedious, and slow, and of course susceptible to human error.

Staff costs are increased as the time spent resolving customer queries reduces the team’s time spent servicing your customers.

P.O.D.’s are easily lost leading to a delay in payment or claims against you for lost goods and the potential loss of a valued customer.

There is no functionality in place to provide live financial management reporting.

What happens when you automate the Proof of Delivery Process?

Proof of Delivery Solutions and Systems scalable, modular, and affordable.

Any automation should in theory improve the speed of a business process. Automating your proof of delivery removes the following manual tasks:-

By removing the printing and scanning of the delivery notes

Manually capturing data from the document and keying into the finance system for invoicing

Physical distribution of documentation across the organisation

Storage, archiving and retrieval costs are reduced

Query management and resolution substantially reduced

What are the benefits of automating the Proof Of Delivery Process?

Improved efficiency and compliance

Improved customer service with the team focused on the customers rather than “fire-fighting” queries

Provides full tracking and auditing at each stage

Consistent cash flow as the time taken to capture and integrate data into the finance system is reduced minimising customer queries and time wasted on disputes.

Cost savings by reducing expenditure on staff needed to manually process delivery notes. Staff no longer have to be engaged in repetitive tasks and can be re-deployed into other areas of the business

Confirmation that the products have been delivered assists with any disputes or queries that might arise

Job sheet files are centralised and structured and are easily retrievable from any computer on the network

Management reporting provides an accurate measurement of the automated POD process within the organisation

Case Study

4 full-time administration staff @ £15,000 per annum were spending 100% of their time keying data from delivery notes into the finance system this equated to £60,000 total cost to the business per annum.

20 depot staff totaling £15,000 per annum spent 5% of their time every day either scanning, faxing, or posting delivery notes to head office for input into the finance system which was costing the business £15,000 per annum.

The Financial Controller @ £55,000 per annum was spending 25% of his time collating data for management reporting and accounts at a total cost of £13,750 per annum.

Automation reduced the staffing level to one person overseeing the process and delivered a total saving of £88,750 per annum for the business.

How does it work?

By capturing and allocating the data contained within the delivery notes that arrive from the depots and drivers. Data uploading is automatic and is deposited in the relevant business system. The documents are then digitised for storage and can then be retrieved if required at a later date.

The integrity of the data that is added to the system is validated and identifies any exceptions this then provides detailed reporting for KPI’s and SLA’s.

Ultimately automation reduces the time to manually keying data from proof of delivery notes, reduces customer queries and disputes, and gives your organisation a tangible and measurable ROI.
